What we collect

  • Your contact details: your name, phone number, and your email address if you give it to us.
  • Your vehicle: the registration number, and details we look up from the DVLA and DVSA using it, such as make, model, colour, year and MOT history and due date.
  • Bookings and jobs: what you book, appointment times, the work we carry out, quotes, invoices and MOT results.
  • Messages: what you send us and what we send you, for example by WhatsApp, text or email.
  • Phone calls: when our phone assistant answers your call, the number you call from, the time of the call, and what you tell us during it (such as your name, your car and what you need), so we can deal with your enquiry or booking.
  • Payments: whether a bill has been paid, and how. Card details are handled by our payment provider. We never see or store your full card details.

Why we use it, and our lawful basis

  • To take and manage your booking and do the work you ask for, including sending booking confirmations, reminders, quotes, reports and invoices. Lawful basis: to enter into and carry out our contract with you.
  • To meet our legal obligations, such as recording MOT tests as the DVSA requires, and keeping accounts and tax records. Lawful basis: legal obligation.
  • To send service and MOT reminders, and to answer and follow up your calls and messages. Lawful basis: our legitimate interests in running the garage and looking after our customers. You can ask us to stop reminders at any time.
  • Marketing, such as offers. We only send this if you have agreed, and you can opt out at any time by replying to the message or contacting us. Lawful basis: your consent.

Who processes it for us

We don't sell your information. We share it only with organisations that help us run the business, and only what they need:

  • The DVLA and DVSA, to look up your vehicle and to record MOT tests, as the law requires.

We may also share information if the law requires it, for example with HMRC or the police.

Where it is stored

We keep your information in the UK or the European Economic Area wherever possible. Some of our service providers are based in, or use servers in, other countries such as the United States. How long we keep it

We keep your information for as long as we need it for your booking and the work on your car, and for as long as we must to meet our legal and accounting obligations. Invoices and accounting records are typically kept for up to 6 years. After that we delete it or make it anonymous.
